Tutorial: Registering electronic documents

1. Please first inform yourself about the document types (in German) and the legal framework (in German).

2. Create a PDF/A-compliant document suitable for long-term archiving from your original file with a bookmark bar for better navigation. The file name should be in the format name_first_name.pdf. Any password protection must be removed in the security settings of the document if necessary.

MS-Word 2010 and newer versions
File → Export → Create PDF/XPS document → tick "PDF options" on the right under "Options": ISO 19005-1 compatible (PDF/A)" → to create bookmarks "Create bookmarks using: Headings" → Ok → Publish

Acrobat
Edit → Basic settings → Category: Convert to PDF → InDesign → Edit settings button: Adobe PDF settings: PDF/A-1b:2005 (RGB)


LaTeX
When converting from TeX to PS, embed the fonts completely! → in Acrobat: Edit → Basic settings → Category: Convert to PDF → select: Postscript EPS → Edit settings → select: PDF/A-1b:2005 (RGB)

3. Write a German and an English abstract and prepare at least three German and three English keywords to describe the content.

4. Fill out the publication form from OPUS and top up the file(s) to the server. You can find more detailed explanations of the accepted file formats on the help pages of OPUS.

5. Print the declaration of consent (in German) and send it signed by hand to the Exchange and Gift Office of the University Library. With this declaration you transfer the simple right of distribution to the University Library and at the same time assure, among other things, that the publication of your work does not infringe the rights of third parties.

6. For dissertations, an additional authorisation for publication by the doctoral committee must be submitted. The authorisation must be attached to the declaration of consent.

7. For dissertations, 5 printed copies of the PDF file, which are identical in content to the PDF file, must also be produced in accordance with the Faculties' doctoral regulations. The printed copies must be handed in at the exchange and gift centre.

If all materials have been submitted in the correct form, you will receive a confirmation of receipt (for dissertations) or will be informed about the activation.
