Tutorial: Registering electronic documents
1. Preliminary Information
Please begin by reviewing the accepted document types and the relevant legal framework for publication.
2. Prepare Your Document
Convert your original file into a PDF/A-compliant version suitable for long-term archiving. The document must include a bookmark bar for improved navigation. Name the file using the format: lastname_firstname.pdf. Ensure that any password protection is removed in the document’s security settings.
Microsoft Word (2010 or later)
Go to File → Export → Create PDF/XPS Document → under Options, check ISO 19005-1 compliant (PDF/A)" → to create bookmarks, select "Create bookmarks using: Headings" → click Ok → then Publish
Adobe Acrobat
Navigate to Edit → Preferences → Convert to PDF → InDesign → Edit settings, choose the setting PDF/A-1b:2005 (RGB)
LaTeX
When converting from TeX to PostScript, make sure all fonts are fully embedded! → in Acrobat: go to Edit → Preferences → Convert to PDF → PostScript / EPS → Edit settings → and select: PDF/A-1b:2005 (RGB)
3. Create Abstracts and Keywords
Write a German and an English abstract. Additionally, prepare at least three keywords in both German and English to describe your work.
4. Upload to OPUS
Fill out the OPUS publication form and upload your file(s) to the server. Detailed instructions and accepted file formats are available on the OPUS help pages.
5. Submit the Declaration of Consent
Print and sign the declaration of consent, then send it to the Exchange and Gift Office of the University Library. By submitting this form, you grant the library a non-exclusive right of distribution and confirm that the publication does not infringe upon any third-party rights.
6. Additional Requirements for Dissertations
Dissertations require written authorization for publication from the doctoral committee. This document must be attached to the declaration of consent.
7. Printed Copies of Dissertations
In accordance with the faculty’s doctoral regulations, five printed copies identical in content to the PDF file must be submitted. These should be delivered to the Exchange and Gift Office.

After all materials are submitted correctly, you will receive either a confirmation of receipt (for dissertations) or a notification that your document has been published online.
